How to Handle Product Backlogs as a Product Manager

As a Product Manager, one of your most important responsibilities is managing the product backlog. This is where all the ideas, features, improvements, and bug fixes live until your team is ready to work on them.

Sounds simple enough, right? Well, anyone who has ever managed a product backlog knows it can quickly become overwhelming if not properly organized. Here’s how to keep your product backlog under control and make it a powerful tool for your team:

1. Keep the Backlog Prioritized
The product backlog should reflect your product’s most pressing needs, so ensure it is well-prioritized. Only some features or ideas will be equally important, and it’s up to you to decide what comes first. Focus on items that have the most value for users and the business.

Tip: Use a prioritization framework like MoSCoW (Must Have, Should Have, Could Have, Won’t Have) to decide what items need immediate attention. Prioritize high-impact, low-effort items first when possible.

2. Break Down Large Items
Sometimes, a feature or task is too big to tackle. These oversized items, often epics, should be broken down into smaller, more manageable user stories. Breaking things down makes it easier to estimate and deliver pieces of value faster.

Tip: Whenever something seems too large or vague, ask yourself how to break it into smaller tasks. For example, if “improve user onboarding” is an epic, split it into smaller tasks like “add tooltips on first login” or “create a new welcome email.”
